Registration
For the registration and payment we open a separate Online Secretariat Platform (ConfTool) that manages all organisational procedures and distinguishes different phases:
- ACCOUNT CREATION: this is the phase in which a user ‘registers’ on the platform by entering his/her personal details and choosing a username and password for subsequent access. Simply creating an account does NOT imply registration for the congress;
- REGISTRATION: this is the phase in which the registered user logs onto the platform with his or her credentials and registers to participate in the conference, indicating any accessory services. At this stage, the amount is determined in relation to the profile and services selected and the bank details for the wire transfer, as payment method, is indicated;

Registration fee
The registration fees, different for standard and student participants, and for early-bird or late registration, will be soon available here.
On-site payment (at the conference venue) will not be accepted, so please pay the registration fee online in advance through the registration site above.
The registration fee will include:
- Material distributed for the conference, access to meeting rooms, Wifi
- Welcome reception
- Sicilian street food event
- Refreshments at poster sessions
Accompanying person registration fees include Welcome Reception and Sicilian thematic event.
Accomodation
The registration to the Hotel should be made directly by attendants.

However, Rooms at Saracen Sands Hotel are almost all already booked. Look at nearby Hotel Sirenetta (4 stars) or B&B nearby solutions. Please, give attention that if you search for a room in Isola delle Femmine village it is about 30min by walk (2 km) from Saracen Sands Hotel, where is the meeting. The other nearby village is Capaci also about 2 km from the Saracen Sands Hotel. In both villages, there is an ample choice of B&B or Airbnb solutions.
VISA and Invitation Letter
Participants coming from outside the Schengen Area wishing to enter Italy must be able to submit statutory documents at the border concerning the reasons for their stay, their means of support and accommodation arrangements.

A visa is generally required, in the absence of a waiver. For general information and for preparing, submitting and tracking your visa application, log on to
Italy-Visas , Italy’s official visa site, with all the information you need to guide you through the process and help you every step of the way.
Waiting times for appointments and for processing applications will vary depending on your nationality and on the time of the year. Participants are advised to check whether they will need a visa and submit any visa application well in advance of the conference.
If you need an invitation letter for a visa purpose, send your requests to info@icec2025.com. Please, consider that some time may be necessary to prepare and send you the letter that, however, can be send only by email in PDF format. For participants submitting contributed abstracts, requests should be made as soon as possible after receiving notification of acceptance.

The participants giving oral or poster presentations should register before early-bird date. * PhD students or not-structured persons with an age below 35 years. A letter of presentation is necessary. | ||
Payment only by bank transfer. It is possible the payment by credit card onsite, with a surcharge of 50€. However, the registration procedure (ConfTool) allow only bank transfer payment. Payment by cash onsite is not possible. | ||

Credit card
It is possible only onsite with a surcharge of 50€. However, the registration valid for acceptance of contributions is possible only following the above link (ConfTool) which requires payment by bank transfer.
Cash payment is not possible.
DATA PROCESSING (GDPR)
The information that you will enter into the registration form will be subject to computer processing by Insight Outside. It is processed by computer for the organizers in order to manage the logistic organisation of ICEC 2025.

Photography
As in-person participants of ICEC 2025, the registered delegates authorize the organizers to use any photograph or video taken during the congress and to make it available on the congress website and on partners medias; to the express exclusion of operations outside the context of the communication activities related to the event, and any use likely to damage reputation or any other medium of pornographic, racist, xenophobic character or any other prejudicial exploitation.
CANCELLATION POLICY
Delegates who find themselves unable to attend ICEC 2025 after submitting a registration form are most welcome to nominate a substitute. All substitutions and cancellations should be notified in writing by e-mail to ERIC aisbl at info@icec2025.com
- Cancellations until 15 May 2025 - 50€ for administrative costs
- Cancellations from 15 May 2025 to 1 June 2025 - 50% penalty
- Cancellations after 2 June 2025: no refund - 100% penalty
Exclusions
- If you do not get your VISA, and you can prove it through documents, we will refund 100% of your fees (except 50€ for administrative costs and banking fees for the refunding), should we receive the notification at least 30 days prior to the conference.
- Conference organizers cannot accept refund requests from the conference delegates that result from cancelled flights and/or natural disasters/calamities.
